Restroom Trailer Quote Checklist: 12 Details to Send
By The Solar Loo Team · October 19, 2026
A useful restroom trailer quote starts with more than a date and guest count. Send the complete event schedule, site access, utilities, existing facilities, service expectations and guest needs so the provider can evaluate the right equipment and delivery plan.
Why a complete request saves time
A short message such as “I need a restroom trailer for 150 guests” leaves important questions unanswered. Are guests onsite for three hours or all day? Will staff and vendors use the same facility? Is there a bar? Can a tow vehicle reach the proposed location? Is power available for climate control?
The Portable Sanitation Association International advises renters to discuss event type and traffic flow, attendance, duration, temperature, food and beverages, special needs, terrain and service access. Those details help a provider recommend the number and type of units and where they can be placed.
Use the checklist below when requesting a Solar Loo restroom trailer rental quote in Napa, Sonoma, the Bay Area or another listed service region.
1. Event date and type
Start with the event date and a plain-language description: wedding, winery gathering, private celebration, corporate event or another type of gathering. If the event crosses midnight or spans several days, list every operating date.
Do not assume a model is available because it appears on the website. Solar Loo confirms equipment and scheduling for each request.
2. Exact venue or city
Provide the street address when you have permission, or at least the venue name and city. Delivery planning depends on the actual site, not only the general region. A vineyard, private estate, park and downtown venue can have very different vehicle routes and placement limits.
For events in Napa Valley, Sonoma County or elsewhere in the Bay Area, include the exact location so delivery coverage and arrangements can be confirmed.
3. Guest, staff and vendor counts
List the expected number of guests, then add staff, vendors, entertainers, security and other workers who will use the same facilities. A catering crew onsite for setup and cleanup may use the restroom before guests arrive and after they leave.
Attendance helps frame demand, but it is not a complete sizing method. Read how to estimate the restroom rooms an event may need before choosing a trailer.
4. The complete event schedule
Share guest arrival and departure times plus the hours when crews will be onsite. Include ceremonies, meals, speeches, intermissions, shuttle departures and any other moment when many people may seek a restroom at once.
If the rental supports a rehearsal dinner, welcome party, next-day brunch or another related gathering, include it. Longer schedules create more restroom visits and can change the supply and service plan.
5. Food, beverages and expected conditions
Tell the provider whether the event includes a meal, bar or continuous beverage service. Also share whether the event will be primarily indoors or outdoors and any known heat or cold concerns. PSAI notes that food, beverages and warmer temperatures can increase restroom use.
These details do not create a universal guest-to-restroom formula. They give the provider context for projected visits, peak demand and possible servicing.
6. Existing restrooms guests can actually use
Count only facilities that will be open, accessible to the intended users and available for the full schedule. A restroom inside a locked building or a private residence may not reduce demand at the event site.
For each existing restroom area, note the number of usable rooms or fixtures, its location and the hours it will remain open. If the property owner does not want guests inside the home, say so clearly.
7. Preferred trailer—or permission to help you choose
Solar Loo offers one-, two- and four-room configurations. Average-use figures mean restroom visits, not maximum guest counts:
- The Single VIP has one private restroom and lists 125 average uses per unit, 40 gallons of freshwater per unit and a 65-gallon waste tank per unit.
- The Double Diplomat has two private restrooms. Each unit lists 170 average uses, 55 gallons of freshwater and a 90-gallon waste tank.
- The Double Majestic has two private restrooms. Its 280 average uses, 90 gallons of freshwater and 150-gallon waste capacity are totals for the whole trailer.
- The Quad Majestic has four private restrooms. It lists 560 average uses for the whole trailer, with two 90-gallon freshwater tanks and two 150-gallon waste tanks.
If you are unsure, select “Help me choose” in the quote form. Keep per-unit capacities separate from whole-trailer totals when comparing options.
8. Delivery route and gate measurements
Describe the route from the street to the proposed placement area. Include gate widths, sharp turns, slopes, low branches, overhead wires, soft ground, narrow driveways and any hours when loading access is restricted.
Send current photos or a short video of the route and placement area when possible. Use the restroom trailer access and setup checklist to catch common site problems before delivery day.
9. Placement surface and entrance clearance
Identify whether the proposed location is pavement, compacted gravel, grass or another surface. Solar Loo's published guidance calls for flat, level placement and adequate clearance opposite the entrance. Weather can change whether an unpaved area remains suitable.
Keep the guest entrance free of décor, parked cars, tent stakes, hoses, cords and service traffic. Do not finalize the location until the delivery and operating requirements for the selected trailer are confirmed.
10. Available power and water
Tell the provider what power and water are available near the proposed placement, including the distance from the source. Do not choose cords, adapters or generators by assumption.
Solar Loo's models are listed as solar powered and self-contained with onboard tanks, but climate-control needs vary. The Double Majestic page specifically says external power is required for heating and air conditioning. Review the restroom trailer power and water guide and request the exact requirements for the confirmed model.
11. Guest route and accommodation requirements
Describe how guests will travel from the main event area to the restrooms, especially after dark. Note slopes, steps, curbs, gravel, grass and lighting. The goal is a route that is visible and comfortable without interfering with catering or vehicle movement.
If a guest, worker or permit requires a particular accessible facility or other accommodation, state it in the request and obtain written confirmation of the actual equipment. Do not infer accessibility from a trailer name, photograph or room count.
12. Service, supply and onsite-contact expectations
Ask what delivery, setup, pickup, supplies and servicing are included in the proposed rental. For longer or multi-day events, provide attendance and hours for each day and ask whether pumping, freshwater refilling or an additional service visit is needed.
CDC guidance for community settings calls for easily accessible sinks, clean running water, soap and a way to dry hands. Solar Loo equipment pages list sinks, soap and paper supplies; the event plan should still identify who will monitor the facility and report a supply or operating issue.
Name one onsite contact and one backup. Provide the contact role and event-day phone number with the final booking details rather than leaving several vendors to make conflicting decisions.

Common quote questions
Can I get a quote without choosing a trailer?
Yes. Use the “Help me choose” option and send the complete event and site details. Solar Loo will review the request and confirm the available configuration.
Does the website list rental prices?
No. Solar Loo does not publish fixed prices on the site. The trailer, location, rental length, access and service plan can affect the quote. See what changes a restroom trailer rental quote.
Should I send photos before booking?
Photos of the access route and proposed placement can clarify gates, turns, surfaces and obstacles. Some locations may require a site visit; Solar Loo will confirm what is needed.
Does a quote guarantee equipment availability?
No. Equipment, schedule, delivery, utilities, service, accessibility and pricing require confirmation for the actual event.
